The Process Optimization and Automation Manager will be responsible for evaluation, design, and implementation of best practice business processes to improve service and business efficiency. In this role, you will be expected to analyze data related to workflow, processes, and reporting to evaluate the efficiency of current-state business processes. Additionally, you may be deployed to support design of future state workflow design across the enterprise.

The Manager will support the implementation of process improvement including design and deployment. The Manager will design and assist team members in creation of process metrics reports that will be sent to TriNet leadership teams for clear visibility into volume reporting. The successful candidate will have a strong understanding of business processes across product lines and the ability to help design and recommend process changes, procedure redesign, etc., as needed to support the business while assisting with quality and outsourcing efforts. Common objectives for process redesign across the business will be to maintain high quality, customer-focused service delivery, to ensure the business remains compliant with ever-changing state and federal regulations, and to preserve transaction accuracy and efficiency. This position will also have a role in collaborating cross-functionally with colleagues representing various TriNet verticals and functional departments to achieve common objectives.

• Lead and coordinate quality, efficiency projects and activities to ensure continuous best practices, and drive business results and growth
• Focus on the customer and be an active participant in creating a seamless experience
• Analyze existing workflows, perform benchmark gap analysis and assist in the design to transform workflows
• Develop processes and procedures to effectively meet or exceed customer expectations
• Develop & update process documentation, work instructions and other tools to support execution
• Partner with Legal and Compliance experts to ensure regulatory compliance
• Partner with IT to incorporate automation where applicable
• Collaborate cross-functionally on full life cycle process evaluation and improvements
• Conduct on-going research and benchmark against industry best practices
• Utilize BPM and BPM / RPA tools to enhance process efficiency (BPM=Business Process Management; RPA=Robotic Process Automation). Maintain associated vendor relationships
• Organize cross functional groups across departments to work collaboratively toward the effective and efficient pursuit of pre-determined goals
• Prioritize projects to ensure timely completion of deliverables and milestones
• Perform analytics to determine level of impact and use outcomes to prioritize projects
• Manage and sustain internal Lean Six Sigma Certification program

Four-year college degree or equivalent combination of education and experience.

Training Requirements (licenses, programs, or certificates): 

• Lean Six Sigma Black Belt or equivalent experience. 

• Project Management Professional (PMP) or related certification is a plus.

• Minimum of 5 years’ experience leading process analysis and redesign efforts utilizing lean methodology
• Demonstrated experience leading others in process analysis and redesign initiatives
• Experience teaching and mentoring others in ‘Yellow and Green Belt’ level skills and basic quality tools a plus
• Strong analytical skills and ability to translate data into measurable action and present projects to management for evaluation and prioritization
• Ability to present complex processes in easy to understand terms to various cross functional stakeholders to receive approval and prioritization
• Ability to prioritize and manage multiple projects, both large and small, with competing due dates and present status to management
• Considerable skills in process improvement, business transformation, customer service, communication, leadership, problem solving and team building.
• Ability to create detailed project plans and high-level milestones across cross functional teams to ensure projects are on track
• Ability to manage multiple projects at the same time and communicate to management any concerns regarding resources, timeline obstacles and prioritization
• Experience working in a HR Outsourcing/PEO environment a plus
• Experience with PeopleSoft HRMS and the creation of queries from PeopleSoft tables a plus
• Proven experience in delivering operational business results in a service environment
• Experience with BPM / RPA tools a plus. (BPM – Business Process Management RPA = Robotic Process Automation)
• Ability to work on project deliverables with minimal supervision and present status and results to Director for approval


Other Knowledge, Skills and Abilities:
• Must be detail oriented and highly organized
• Excellent collaboration, teamwork and interpersonal skills
• Advanced knowledge of MS Word, Excel and PowerPoint required
• Knowledge of MS Project and other project management tools a plus
• Strong presentation skills and ability to create presentations. Ability to create process flow diagrams in Visio or other software applications as needed
• Experience with BPM / RPA tools a plus. (BPM/A – Business Process Management / Automation. RPA = Robotic Process Automation)
• General Knowledge of Workforce Management Tools required
• Must embrace change and have a proven track record of process redesign
• Excellent written and verbal communication skills
• Effective time management and organizational skills
• Ability to effectively meet customer needs, taking responsibility for customer satisfaction
• Ability to create and comprehend reports and spreadsheets
• Ability to maintain effectiveness and professionalism when experiencing change in work tasks and/or the work environment
• Ability to work in a fast-paced, team environment and under pressure of deadlines
• Fluency in English, bilingual a plus

WORK ENVIRONMENT/OTHER INFORMATION (Travel required, physical requirements/demands, on-call schedules, etc.)
• Travel Required; approximately 15 – 20%
